How to plan for a successful corporate event

Spring is slowly but surely approaching, and a lot of companies are booking their upcoming conferences and events. Maybe you have been tasked with the responsibility of planning and booking the venue. In this post we’ll share our top five tips to help you plan a successful company event and some of our top venues in and around Stockholm. 
Summer party with outdoor barbeque on your own archipelago island 
Surely nothing gives more summer party vibes than sunshine, sand, sea and an outdoor barbeque? If you are planning a summer party the small island of Badholmen is the venue for you! You’ll get the entire island to yourself and still have plenty of time to mingle and cool down with a dip whilst the island’s own chefs prepare a barbeque buffet. The courtyard of Vaxholm Kastell

If you are planning on hosting a big event there is no better venue than the courtyard of Vaxholm Kastell. Located in the heart of the fortress from mid 1500’s, the courtyard will allow you to plan you dream event with space for up to 2000 people, even with a seated dinner. To protect your guests from natures elements a marquee will be erected over the courtyard and decorated to create a unique feel for your event. Situated at the heart of the countryside in Värmdö you can find Fågelbrohus, a beautiful country club with a modern touch. One of our absolute favourites is of course to host your party at sea onboard a beautiful archipelago ship. Cruise through the Stockholm Archipelago or Lake Mälaren and let the scenery change throughout the evening. You can tailor the cruise to your wishes, everything from a seated three course meal or a buffet inspired by the Swedish Archipelago. You can also choose from a wide range of entertainment - how about a live band or DJ to really get the party going?

Krägga is an elegant manor house situated right on the shore of picturesque lake Mälaren. Here you can enjoy an overnight conference with all the trimmings. Champagne, a three-course gourmet dinner, a sauna situated right by the lake – what else could you possibly ask for?

Our top five tips for planning a corporate event 

What do you want to achieve?
Is this an event to raise the company spirit? Business meetings? Do you have something to celebrate – a launch, a new product or achieving your business goals? Maybe just a fun party to gather your employees to have a good time? A corporate event can have many purposes, but is often much appreciated. 

Details – start at the top
Start by writing down the basic information - What dates are you considering, how many people (approximately) will be attending, what is your budget? What is your preferred location? 
Then you can narrow it down further – do you want dinner, activities, an overnight stay? What amenities or equipment will you definitely need? Once you have established these things you can start looking at venues that fulfils your requirements. 

Gather information
Contact the venues you are interested in and make sure to get several pricing offers and suggestions for different arrangements. Make sure you don’t draw this out too long, once you found something that matches your requirements it’s always best to secure the venue as soon as you can! 

Send invitations
Make sure you know what your venues policy is in regard to RSVPing with a final number of attendees. Make sure you send your invitations well in advance to ensure as many people as possible can reserve that date. Don’t forget to ask your guest to inform you of any allergies or dietary requirements! 

Prepare in good time – and make sure to enjoy the party!
